Business Administration
Business Administration, or sometimes called Business Operations, is the core area of any business, its existence described in every single organization’s Articles of Operation / Incorporation.
A company may or may not engage in marketing operations, or may or may not engage in customer success activities, but from a legal perspective, every Principal Director of an organization has a fiduciary responsibility (mandated by law) to run business administration operations.
Now, we know there are many legal mandates we’d rather not exist. However, this one is one of the most sensical ones in business.
In other words, if you do not want to take on the legal responsibility of running a well operated, ethical business, then you should NOT be in business to begin with.
In Alvanda, we commit to not helping liars, scammers, and charlatans. If you’re running a shady business, we suggest you use different software.
However, if you want to build a business that reaches the highest levels of effectiveness and ethics it’s capable of, then we warmly invite you to hop on a Demo call with us.
Once you schedule the call, you can come back and continue reading some Business Operations Use Cases below.
Creating An Operations Manual
Most of us know an Operations Manual is a collection of all of the Standard Operating Procedures and Guidelines an Organization has. Typically in the form of a 300+ page document no one wants to read.
However, almost no one knows there’s now finally a way to have an organization’s entire operations manual outlined as Procedures that can be used on a day to day.
Every single Procedure defined in Alvanda (which takes only a few minutes) can immediately be used by anyone it’s shared with.
More so, if any changes are made to Procedures in the future, the changes update automatically across the entire Organization–saving countless hours of writing/reading memos, preparing/presenting training materials, and everything in between.
Generating Workload Reports
“Trust” is a big fluffy word thrown around typically by employees who want to be able to skip an hour of work here and there.
“You should trust us to do our work.” is a sentence you hear if you’ve been in leadership long enough.
What those people don’t want to understand is that business has nothing to do with trust, and everything to do with transparency.
As a leader, I should not need to trust any specialist. I should have systems in place to track work and make sure it gets done.
As a Specialist, I should not need to trust any member of leadership. I should have systems in place to transparently see if Leadership’s decisions are moving the company in the right direction.
Alvanda helps organizations create higher levels of transparency than they ever had before. A few ways Alvanda does this is via:
- Automatic time tracking and workload tracking,
- Automatic centralization of all deliverables, and
- Company-wide quarterly Strategic Initiatives.
Filing Paperwork
Business paperwork tends to be attractive to most individuals because it doesn’t add value to the company and tends to be very repetitive.
But that’s exactly why we at Alvanda love it!
Because paperwork tends to have to be done in the exact same way at the exact same times of the month or year, with Alvanda, Managers can set up Procedures for every single paper that needs to be filed with automatic recurrence.
This saves companies using Alvanda so much time and brainpower it’s crazy. Allowing for those limited resources to be used in activities that add real value to the company.
Automatic Escalations
Within Business Operations, the variety of tasks can be overwhelming, so it’s no wonder things tend to get lost sometimes.
Or at least they used to get lost–until now.
Within Alvanda, all organizations can set Global Escalation Settings, making every overdue task send a notification to the Assignee’s direct Manager.
If the Manager doesn’t do anything about it in a predetermined amount of time (set by you), then it goes up the chain again.
With this simple system (Beethoven would be so proud.*), no task can ever be lost or forgotten.
Operations Teams either decide to deal with the task OR delete it. Otherwise, it’s just going to keep bubbling up until it’s completed.

Universal Search
Ever wish there would be 1 search field that acts like the Google search engine for everything in your business?
Well, within Alvanda, you’d have just that.
Want to search for a lead in the sales pipeline? Universal Search.
Want to check up on a specific feature you asked the dev team to work on a week ago? Universal Search.
Want to see what bandwidth a colleague has next week? Universal Search.
If you run your company on Alvanda, literally anything you want to find can be found from the same 1 search bar.
Yes, we know, it only took the business software world 50 years to build one. But we have.
Hop on a Demo Call and we’ll show you how it works.
Account Based Access
In other business software tools, you invite people to the tool, and then start an entire process of giving them access to whatever they should get access to.
Not with us.
In Alvanda, when you hire and invite someone new to the team, you invite them directly into a specific Role in the Organizational Chart.
Once in a Role, Alvanda automatically shares with them everything they need access to within that role, and nothing else.
So if you hire a Marketing person, they will have access to all the marketing collateral, marketing procedures, and so on. If you hire an Accountant, they will have access to Invoices, balance sheets, or anything else relevant to them.
This saves a ton of Administrative time and allows new Team Members to get onboarded much quicker.
Shared Resources
If you’ve been in business for long enough, you had dozens of situations where people with specific skill sets from one department would be very beneficial in other departments
For example, in a software business, the Designer might be part of the Product Department, but Marketing also needs banners and flyers, and who knows what else, all the time. Oh, and Sales needs new collateral and proposals on a weekly.
So, what do you do? Is the Designer part of the Product Department? Or Marketing? Or Sales?
Well, in Alvanda, we’ve developed a simple solution. (Again, Beethoven sheds a tear of pride.*)
You can create the Designer role within whichever Department they’re a main part of, and then mark them as a Shared Resource to any roles in any other departments.
That way, the connections between that one Role and the people that can benefit from their skill sets, are clearly defined from within the Organisation Chart itself.
